CANCELLATION POLICY
While we will make every possible effort to avoid it, there may be times when our race will get cancelled, either by our own hand or outside forces. A cancellation is not a situation any of us want to find ourselves in, but at the end of the day runner safety is our number one priority.
Our policy, effective for the 2024 race is as follows:
In the event that the West Line Winder cannot be put on safely, we will cancel the event. Such circumstances include, but are not limited to: pandemics, wildfires, air quality, severe weather, and public safety threats. Depending on the circumstances, we will strive to find a balance between cancelling far enough ahead that runners have not invested significant funds while waiting until we are as certain as possible that the event must be cancelled. Cancellation announcements will be made through email, our website, and on our social media channels.
We do carry cancellation insurance that covers events such as wildfire, air quality, severe weather, and some threats to public safety; however, it has limitations - like pandemic related issues.
If the race is cancelled due to an event covered by our insurance, we will issue full refunds (entry fee only) to runners. If it is not an insurable event then runners will not be offered a refund. Pregnancy and New Child Deferrals are applicable throughout cancellation.
NON-CANCELLATION REFUNDS/DEFERRALS/CHANGES
Until September 1st, 2024 - 50% of your entry can be rolled over/deferred to the next year. You must register within two weeks of the race opening, however, or your spot and funds will be forfeited. After September 1st, 2024 no rollovers/deferrals will be permitted.
Until September 9th, 2024 - Runners may change which distance they are running. The difference in registration will not be refunded.

We do not offer refunds outside of the instances listed in this cancellation policy. This means that we won’t give a refund (or deferral) because you got injured, have travel restrictions, didn’t train, etc. The ONLY instance we’re willing to consider on a case-by-case basis is if you are undergoing a significant and unexpected financial or life disaster. If this pertains to you, please email the RD directly to discuss the situation. We offer this out of empathy for the challenges that life can throw, do not abuse this option.
PREGNANCY AND NEW CHILD DEFERMENT
A runner may defer their entry and 100% of their entry fee to the following race year if they meet one of these requirements.
The runner becomes pregnant after entering the race.
The runner or their partner gives birth to a child in the time between the runner entering the race and the deferral deadline.
The runner adopts a child under the age of 5 in the time between the runner entering the race and the deferral deadline.
Please note that the entry is not transferable and the deadline for requesting a deferral is September 1st, 2024.
